Terms of Service
Last updated: 26 October 2026
In short: landlords get 30 days free with no card needed, then pay monthly or yearly by the size of their portfolio. You can cancel at any time and keep access until the end of the period you've paid for. Tenants use Rentrexa for free.
1. About these terms
These terms apply to everyone who uses Rentrexa: the website at rentrexa.co.za, the landlord app and the tenant portal. By creating an account or using Rentrexa, you agree to them. Please also read our Privacy Policy, which explains how we handle personal information.
Rentrexa is provided by DevSeen Technologies (Pty) Ltd ("DevSeen Technologies", "we", "us"). Our full details are in section 15.
2. What Rentrexa does
Rentrexa is online software that helps landlords manage their rentals: tracking rent and arrears, issuing Proofs of Payment, handling maintenance requests, messaging tenants, taking rental applications, signing lease agreements electronically and recording inspections. Tenants use the tenant portal to see their lease, pay rent where available, report issues and message their landlord.
Rentrexa is a tool. We are not a party to any lease between a landlord and a tenant, and we are not a rental agent, estate agent or legal adviser. Landlords and tenants remain responsible for their own agreements and for complying with the law, including the Rental Housing Act.
3. Accounts
- You must be 18 or older to use Rentrexa.
- Landlords create their own account. Tenants get an account when their landlord adds them, and receive an invite to set a password.
- Keep your password private, and tell us straight away if you think someone else has used your account. You are responsible for what happens in your account.
- The information you give us must be true and up to date.
4. Free trial
New landlord accounts get a 30-day free trial with every feature included. No card or payment details are needed to start. We'll remind you before the trial ends. If you don't subscribe by then, your account becomes read-only: your information stays available to view, but you can't make changes until you subscribe. Your tenants can still use the tenant portal.
5. Subscription plans and prices
After the trial, landlords pay a subscription based on the number of rental units in their account:
| Plan | Units | Monthly | Annual |
|---|---|---|---|
| Starter | 1 to 5 | R299 | R2,990 |
| Growth | 6 to 15 | R499 | R4,990 |
| Professional | 16 to 30 | R799 | R7,990 |
| Portfolio | 31 or more | R1,200, plus R25 per unit above 31 | 10 times the monthly amount |
- Annual plans cost the same as 10 months, so you get 2 months free.
- Your plan follows your unit count. If you add or remove units and move into a different plan, the new price applies from your next billing date.
- DevSeen Technologies is not registered for VAT, so no VAT is added. The price shown is the price you pay.
- We may change our prices. We'll tell you at least 30 days before a change affects you, and it applies from your next billing date after that. If you don't accept a new price, you can cancel before it takes effect.
6. Credit checks
Landlords can run a TPN credit check on a rental applicant who has given consent on their application. Each check costs R165, charged once-off when you run it, and is separate from your subscription. You must only run a check for a genuine rental application, and only with the applicant's consent. Rentrexa records that consent.
7. Payments and invoices
- Payments to Rentrexa are processed by PayFast, a South African payment provider, using the payment methods PayFast offers, such as card and instant EFT. You enter your payment details on PayFast's secure page. Rentrexa never sees or stores your card details.
- Subscriptions renew automatically at the start of each month or year, and the subscription amount is collected through PayFast until you cancel.
- We email you an invoice for every payment. You can also find your invoices in the app under Settings & plan.
- If a payment fails, we'll let you know. If it isn't sorted out, your account may become read-only until payment is made.
8. Cancellation
- You can cancel your subscription at any time by emailing hello@rentrexa.co.za from your account's email address. We'll confirm the cancellation by email. There are no cancellation fees and no long-term contracts.
- When you cancel, no further payments are taken. You keep full access until the end of the month or year you've already paid for. After that, your account becomes read-only.
- Your information stays in your account after cancelling, so you can come back later. If you'd like a copy of your records, or want your account deleted, email us. We keep some records for as long as the law requires, as explained in our Privacy Policy.
9. Refunds
- First payment: if you're not happy, you can cancel within 7 days of your first paid subscription payment and we'll refund it in full. This is in addition to the 30-day free trial, and to any right you have under the Electronic Communications and Transactions Act or the Consumer Protection Act.
- Later payments: after that, subscription payments aren't refunded for the rest of a month or year you've already started. When you cancel, you simply aren't charged again.
- Annual plans: if you cancel an annual plan after the first 7 days, you keep access until the end of the year you've paid for. We don't refund the unused months.
- Credit checks can't be refunded once they've been run, because the credit bureau charges us for each check. If a check fails or returns no result because of a fault on our side or the bureau's, you won't be charged, or we'll refund you.
- Mistakes: if we charge you incorrectly or twice, we'll refund the incorrect amount.
- Refunds go back to the original payment method within 10 business days of our approving them. To ask for a refund, email hello@rentrexa.co.za with your invoice number.
10. Landlords' responsibilities
- Only add tenants, applicants and properties you're entitled to manage, and keep their information accurate.
- Use tenants' and applicants' personal information only to manage your rentals, and as POPIA and the Rental Housing Act allow. You must not use Rentrexa to discriminate unfairly against anyone.
- You're responsible for the content of your leases, notices, inspections and messages, and for collecting rent and handling deposits lawfully.
11. How we handle your tenants' information
For the information you keep in Rentrexa about your tenants and applicants, you are the responsible party under POPIA, and we are your operator. By using Rentrexa, you authorise us to process that information on your behalf. We agree that we will:
- process it only to provide Rentrexa to you and your tenants, or as the law requires;
- keep it confidential and protect it with appropriate security measures;
- only use service providers who are bound to protect it in the same way (they are listed in our Privacy Policy);
- tell you without undue delay if we believe it has been accessed or acquired by someone without authority;
- help you respond to requests from your tenants about their information; and
- when your account is closed, delete it or return it to you, except what the law requires us to keep.
12. Acceptable use
You may not use Rentrexa to break the law, harass or threaten anyone, upload content you don't have the right to share, send spam, or try to access accounts or information that aren't yours. You may not interfere with how Rentrexa works or try to copy the software. We may remove content that breaks these rules, and suspend or close accounts that seriously or repeatedly break them.
13. Availability and changes to Rentrexa
We work to keep Rentrexa available and secure, and we back up data regularly. Like any online service, it may sometimes be unavailable, for example during maintenance or because of problems outside our control. We may improve or change features over time. If we remove a feature you pay for in a way that materially affects you, we'll tell you in advance, and you may cancel and get a refund for any unused period you've paid for.
Rentrexa and its software, design and content belong to DevSeen Technologies. The information you put into Rentrexa remains yours.
14. Liability
Rentrexa helps you keep records and communicate, but you remain responsible for decisions about your rentals. To the extent the law allows, we are not liable for indirect or consequential losses, such as lost rent or profit. Our total liability to you for any claim is limited to the amount you paid us in the 12 months before the claim. Nothing in these terms limits any right you have under the Consumer Protection Act or any other law that can't be excluded.
15. Supplier information
As required by section 43 of the Electronic Communications and Transactions Act:

16. Changes to these terms
We may update these terms from time to time, and the date at the top will change. If a change materially affects you, we'll tell you at least 30 days before it takes effect, in the app or by email. If you keep using Rentrexa after that, the new terms apply. If you don't agree, you can cancel before they take effect.
17. Law and disputes
These terms are governed by South African law. If you have a complaint, please email hello@rentrexa.co.za first, and we'll try to resolve it within 10 business days. If we can't, either of us may refer the matter to the relevant ombud or a South African court with jurisdiction.
